When is "Import bookings" available?
Not every experience can use this feature. For the import button to be available, the experience must meet three conditions at the same time:
"Published" status: the experience must be published. If it's still in draft or any other status, importing won't be available.
"Manual transfer" payment method: importing only works when payment is handled through manual transfer, since there's no automatic payment gateway to sync the data with.
No room assignment (if applicable): if the experience includes accommodation, it must be configured without room assignment. This simplifies bulk loading, since there's no need to resolve room-by-room availability during the import.
If your experience doesn't meet any of these requirements, you won't be able to take advantage of this feature.
An important detail: services on imported bookings
When importing, all bookings are created by default with only the services included in the package. No imported booking will automatically include extra services.
This means that if a customer had booked additional services, you'll need to add them manually after completing the import. It's a limitation worth keeping in mind when planning your upload, especially if you're working with groups that combine different service levels.
How to import bookings step by step
The process is designed to minimize errors and give you the chance to review the data before confirming it. Here are the steps:
Go to the relevant experience from your dashboard.
Open the Bookings tab.
Click the Import button.
A modal opens to select the accommodation. Choose the one that applies. Download the template that will be used to create the bookings.
Open the downloaded template and fill in the details for all the customers you want to import.
Go back to the same modal and upload the completed template in the space provided for it.
The import process begins. You'll see a notice at the bottom of the screen indicating that the import is in progress.
Once it's finished, you'll be able to review, edit, and confirm the customer data that was uploaded. This is the key moment to fix any errors before moving forward.
Once the data is confirmed, the bookings are created automatically.
Check your import history
If you want to keep track of the imports you've made, it's easy: click the arrow to the right of the Import button to open the dropdown, and select "Booking imports". There you'll find the full history of your uploads.
Another way to access the import feature
Besides the button inside the Bookings tab, you can also start an import from the three-dot dropdown in the top-right corner of the screen. It's an alternative shortcut so you can launch the process from wherever is most convenient for you, without always having to follow the same path.
